What you'll get: a missed-call text-back message, an after-hours chat "cheat sheet" you can load into any chat tool, and tips for choosing a service.
Do this today in 10 minutes
1. Write down the 10 questions your phone rings with most (hours, financing, delivery area, stock).
2. Answer each one in a sentence or two. That's your cheat sheet (template below).
3. Update your voicemail greeting: "Sorry we missed you. We'll text you back shortly, or visit [website] for hours and delivery info."
Saturday afternoon. Two salespeople are with customers, the phone rings, and nobody can get to it. The caller doesn't leave a voicemail. They just call the next store on the list.
Response time matters: in a Harvard audit of 2,241 US firms, the average reply to a web lead took 42 hours, and firms that replied within an hour were about 7 times as likely to qualify the lead (source). A missed call is the same problem, only faster.
There are two simple fixes, and they work well together.
Fix 1: Missed-call text-back
When a call goes unanswered, the system automatically texts the caller within a minute or so. Many shoppers will simply text their question, which your team can answer between customers.
Copy-paste text-back messageHi, it's [Store] in [town]. Sorry we missed your call! We're with customers right now. What can we help with? Reply here and we'll get right back to you. Hours: [hours]. Reply STOP to opt out.
After-hours versionHi, it's [Store]. Thanks for calling! We're closed right now and open again [day] at [time]. Reply with your question and we'll answer first thing, or browse at [website]. Reply STOP to opt out.
A quick word on consent (not legal advice): Keep the text-back about the call they just made. Don't quietly add callers to a promotions list. In Canada, CASL requires consent, sender identification and an easy unsubscribe for commercial messages (CRTC FAQ). In the US, the FCC's TCPA rules require consent for autodialed texts (FCC). Always honour STOP, and ask your provider how their text-back meets these rules.
Fix 2: An after-hours chat helper
Many questions come in after you close. A chat window on your website, powered by AI and loaded with your store's facts, can answer the easy ones at 10 p.m. and invite the shopper to book a visit.
The secret is the cheat sheet. The assistant is only as good as the facts you give it.

- If they want to buy, visit or talk to a person, collect name, phone or email, and the best time to reach them, and tell them a team member will follow up during business hours.

Pick your tool
Check your phone provider first. Some business phone systems include a text-back feature. Ask.
All-in-one dealer tools. Podium, Birdeye and Selectlogiq offer missed-call text-back, web chat and AI assistants for local stores. Compare monthly fees, setup fees and contract length, and ask whether you can leave without a penalty.
Do it yourself. A texting service like Twilio can be set up to text back missed calls, but plan on some technical help.
Watch out for
A text-back is a promise. If you say "we'll get right back to you," someone has to. Assign a person each shift.
Don't let the bot guess. Wrong prices or delivery dates cost more than an unanswered chat.
Read the transcripts weekly and add new answers to your cheat sheet.
